Privacy policy
What Epliv does with your data, why, with whom, for how long, and your rights.
Version of 2026-10-19
1. In short
Epliv uses your data only to find opportunities for you, show you the legal way to travel, run your account and take payments. We do not sell your data, we do not use it for advertising, and we never send it to organisers, embassies or visa centres. Questions about your data: support@epliv.com.
Who is responsible for your data: Dee Empire, Forststraße 6, 96264 Altenkunstadt, Germany; owner: Mohamed Sesay. E-mail: support@epliv.com. Our company details.
2. Where your data is kept
The Epliv app, the website, our database, uploaded documents and backups run on Google Cloud in Europe. The providers named below process data only as far as their service needs.
3. Your account
For your account we keep your name, e-mail address, your password in irreversibly encrypted form, your language and when you accepted the terms. When you sign in we keep a session (in the browser a cookie, in the phone app a sign-in token) with the device type and the last use. To protect against attacks we keep sign-in attempts with the IP address for 2 days.
If a partner helps you. An Epliv partner (for example a travel agency, school or organisation that Epliv has checked) may open or use an Epliv account for you only with a consent form you signed. The partner gives us your name, date of birth, nationality, passport number and expiry date, phone and, if you have one, your e-mail address, and uploads the signed form and a photo of you holding your open passport. We use these to check who you are and that you agreed; our AI features (Google Gemini) help read the form and the photo, and a person at Epliv decides. We keep the passport number only as a coded value to stop the same person being added twice, and show its last four characters. The signed form and the photo are deleted at the latest 90 days after you leave the partner's places, or sooner if Epliv sets a shorter time. The partner's staff see your answers, your list and your progress, and everything they do in your account is recorded and shown to you. You can leave the partner at any time under Settings → Partner.
4. Your answers to the questionnaire
To find opportunities that fit you, we ask about you: the country you live in, your nationality (passport), your date of birth, whether you have a valid passport and until when, your languages, education, work, skills, the kinds of opportunity you look for, your subjects, where you would like to go, when you can travel, your budget and the funding you need, visas you held, and your goals in your own words.
Your nationality, the country you live in and your date of birth are used only by Epliv's own rules: to check whether you meet an opportunity's rules (for example an age limit or the countries it is open to) and to show the legal travel route for your passport. They are never sent to an AI model. We never ask about health, religion, ethnicity, sexual orientation or family.
5. Matching, delivery and reminders
Epliv compares the opportunities in its catalogue with your answers and shows you how well each fits, with the reasons. This is a recommendation: you decide what to do. Each month we add matched opportunities to your list according to your plan, send you reminders before deadlines and tell you when an opportunity you keep changes. We keep which opportunities you keep, where you stand with each (as you tell us), the items you ticked and your notes.
What you tell us about an opportunity. When you rate an opportunity you applied to, your stars and words are shown to other members only as an average once several members rated it, and your words without your name. When you tell us something is wrong or missing (for example an embassy's address), the team and our agents read it to fix the information — never with your name. We count how often each opportunity is opened, and from which country, without keeping who opened it.
6. Your documents and CV
You may upload a CV and other documents. We keep them and read them to suggest facts about your education and work; only facts you confirm are used, for example for a CV you build. Uploaded files are checked for viruses. Please do not upload passport or ID scans: Epliv does not need them.
7. AI features (Google Gemini)
Some features use artificial intelligence from Google: Nia, your assistant (text and voice, with paid plans), reading your CV and documents, and the CV builder. For this we send the content needed in each case to Google's Gemini API: your profile (name, experience, skills, education), what you are looking for, your CV and documents, the opportunities you ask Nia about, and your messages and voice to Nia. Never your nationality, the country you live in or your date of birth (section 4).
This happens only with your consent, which the app asks for once. Without it you use Epliv as before; only the AI features stay off. You can withdraw your consent at any time (Settings → Privacy). We use the paid Gemini API, and Google does not use the content to improve its products. We keep technical details of AI requests (feature, duration, volume) for 90 days.
The microphone is used only while you talk to Nia and after you agreed. We do not keep audio recordings.
8. Payments (Stripe)
Paid plans are paid through Stripe. You enter your card details on Stripe's page; Epliv never sees or stores them. Stripe tells us that the payment succeeded, the amount and a reference; we keep a record of each payment (plan, period, amount, date, refunds). Stripe also uses payment data to prevent fraud.
9. E-mails and phone notifications
We send e-mails needed for your account (confirming your address, resetting your password), reminders before deadlines and plan reminders. Phone notifications go through Expo and from there through Apple or Google; a device identifier and the text of the notification are transmitted, and you choose in your notification settings whether details appear. You can switch reminders and phone notifications off at any time (Settings → Notifications).
10. The help chat
When you write to Epliv Help, an AI assistant (Google Gemini, section 7) answers from our help articles; you can ask for a person at any time. Before anything reaches the AI, numbers that look like card, bank or ID numbers are masked. Conversations are kept so the team can follow up, and deleted after the period shown in the chat.
11. The website
The website epliv.com sets no cookies and needs no account. To deliver pages, our server processes your IP address and the address requested; we do not keep a log of every visit.
Your country. To show you the opportunities picked for the country you are in, our server looks up the country of your IP address in a list kept on our own server (DB-IP's free country list, "IP geolocation by DB-IP"). Nothing is sent to anyone for this. We keep only how many visits came from each country — never your IP address.
The map. The map (epliv.com/map and Map in the app) opens only when you choose to show it. Its map pictures come from OpenStreetMap, which then receives your IP address and the part of the map you look at (OpenStreetMap Foundation, privacy policy: osmfoundation.org). "Use my exact location" asks your browser's permission first; your exact location stays in your browser and is never sent to Epliv. The places of the opportunities on the map are looked up from their city with OpenStreetMap's Nominatim service — no data about you is sent for that.
Ads. On the website, and in the app for members on the Free plan, Epliv shows ads from advertisers it works with, always marked "Sponsored". We choose them only by the country (members: where you live; website visitors: the country of your IP address, looked up as above) and by the kind of opportunity you look for or are looking at. We use no advertising cookies, no ad networks and no tracking across websites, and advertisers receive no data about you from us. We count how often each ad was shown and clicked, per country and day — never who. So that you do not see the same ad again and again, our server keeps a short-lived, coded count per viewer for one day; it is not stored with anything else. When you click an ad, you leave Epliv for the advertiser's website, where its own privacy policy applies. Members with a paid plan see no ads.
12. Who receives data
Only: Google Cloud (operation and backups), Google Gemini (AI features and help chat, with your consent), Stripe (payments), our e-mail provider (e-mails), Expo, Apple and Google (phone notifications), and OpenStreetMap (the map pictures, only when you open the map). Epliv never sends your data to organisers, embassies or visa centres — you apply to them yourself.
13. How long we keep data
As long as your account exists. Earlier, automatically: sign-in attempts after 2 days, technical details of AI requests after 90 days, logs of important actions after 730 days. When you delete your account, we delete all its content at once; deleted data disappears from backups within 30 days. Payment records are kept as long as accounting rules require, without a link to your account.
14. Your choices and rights
You can see and change your answers at any time (My answers), download or delete your documents, switch AI features and notifications off, and delete your account (Settings → Security). You can also ask us at support@epliv.com for a copy of your data, or to correct or delete it.
15. Age
Epliv is for people of 18 and over. We do not knowingly keep data of younger people; if we learn of it, we delete the account.
16. Changes
When we change this policy, the new version is published here with its date. For important changes we tell you by e-mail.
